Work today's follow-up list
The system works out who needs a call today — renewals, trials, students falling behind — so nobody has to remember.
Every night the system looks at every student and works out who needs attention tomorrow. That is your worklist. Working it is the single highest-value hour at the front desk, because most of it is money that would otherwise walk out.
1. Open the Daily List
Operation → Daily List. It shows the students with a class today, and the columns that decide whether you need to say something to the parent:
- Class Left — credits remaining on the package paying for that seat.
- Expiry — when that package runs out.
- Status — where the student is in their lifecycle.
Filter by Branch, pick a Date, Week or Month, or search for one student.
2. Deal with the urgent ones first
Read the list in this order — it is roughly the order in which money is at risk:
- Last class, or one class left. The family is about to run out. This is
the renewal conversation, and it is far easier today than next week.
- Expired. They have already lapsed. Still worth the call, but colder.
- First lesson. A new family's first class — a check-in here sets the tone
for everything after.
- Trial follow-up. Attended a trial, not yet signed up. Your hottest lead.
- Behind pace. Enough classes left that they will not finish before expiry
unless they come more often.
3. Record what happened in the Task Log
Operation → Task Log lists the tasks the system generated, with Type, Student, Assigned To, Status and Remarks. Update the status as you work through them so the next person can see the call was made and what the parent said.
What generates a task
Each prompt is a rule the academy can switch on or off, so your list may be shorter than another branch's:
