Referral rewards

How a parent earns a reward for referring families, and how staff hand it to one of their children.

Referral rewards are earned automatically. Nobody has to notice a referral and file for it: the system counts them and mints the reward itself.

How a referral qualifies

A referral counts once the referred family converts — that is, buys their first real package. A name on a form is not yet a qualified referral.

The referrer is the parent, since that is who introduced the family.

Referrers are often attached to a record weeks or months after the child signed up. That is fine: the tally is recalculated whenever a referrer is added, and nightly regardless, so a late entry still earns what it should.

Every referral earns something

Your academy sets up a cycle of rewards, and each referral earns whatever that position in the cycle gives. The pattern then repeats: with six positions configured, a parent's seventh referral earns whatever position one gives.

So a cycle of "1 class, 1 class, 4 classes" means the first two referrals each earn one class, the third earns four, the fourth starts again at one.

A position left unset simply pays nothing at that point in the cycle. It is not an error, and the cycle carries on.

Giving the reward to a child

A reward is earned by a parent but held by a child, so somebody has to say which child receives it.

  1. Open Schedule → Referral Rewards.
  2. Find the parent, and the reward showing as earned. The list shows who it was

earned for — the referred child who triggered it — and what the reward is.

  1. Choose Assign reward, pick which of their own children receives it,

and confirm.

Only that parent's own children are offered. On assigning, the package is issued immediately: an invoice is raised at the catalogue value with a matching discount, so it nets to zero. The family is charged nothing, while the giveaway's value still appears in the records and the programme's cost stays reportable.

Things worth knowing

Referral packages cannot be sold at the counter. They are earned. Selling one at checkout would leave the parent's reward still owed, so they could collect it a second time.

A parent's standing is on their record. Their profile shows the referrals they have made and what each earned — which is the answer when a parent asks why they have not received anything yet.

If the tally changes, the rewards are re-checked. Removing a referral shifts everyone after it up a position, and a position can be worth more or less than the one before. Rewards not yet handed over are corrected quietly. Rewards already given are left exactly as they are and flagged for someone to look at — because the family has already been told what they are getting, and classes may already have been taught against it.

Voiding a reward is possible from the same screen, with a reason. Use it when a reward was clearly earned in error and nothing has been consumed.
