Cancel a package and return the value

A family is stopping. Return the unused part as credit, free the child's seat, and keep the record intact.

Use this when a family stops and there are classes left on their package. Cancelling values the unused part and hands it back as credit they can spend later — the sale itself stays on the record.

Cancelling is not the same as voiding. Voiding pretends the sale never happened and is for a mistake at the counter, not for a family leaving. See Undo a mis-keyed sale.

1. Open the package

Find the child, open their profile, and choose the package to cancel.

2. Check the preview

Before anything happens, the system shows you what cancelling will do: how many credits are unused, what they are worth, and what the family will be left holding.

Read it. The value is calculated from what was actually paid — after any discount or voucher used at the time — so it will not always match the sticker price.

3. Confirm

Confirming does three things at once:

  1. Issues a credit note for the unused value. That credit sits on the

parent's account and can pay for a future purchase.

  1. Closes the child's seat in any class that package was paying for, from

that day. They come off the roster and the slot frees up.

  1. Leaves the original invoice untouched, so the books still show what was sold

and what was returned.

What you should see afterwards

Cancelling today means "not attending today". If the child has a class later the same day, the seat is freed for it.

If the child has more than one class

A package can be paying for more than one seat, and a family pool can be paying for a sibling. Cancelling closes every seat that package was funding — check the preview, which names them, before you confirm.
