Stop a student
A family is leaving. Record it properly so the seat is freed, the reason is captured, and your churn numbers are true.
Stopping a student is not just tidying a list. It frees the slot, closes the bookings, and puts a reason into the one report that tells you why families leave.
1. Open the student and choose Stop
From the student's profile, choose Stop. The Stop Student dialog asks for two things.
2. Set the stop date
Use the date they actually stopped, not today. Retention numbers are counted by date, so a month of back-dated stops entered on the 30th makes that day look like a disaster and the rest of the month look fine.
3. Give the real reason
The reason field is the whole point. "Stopped" tells you nothing. "Moving to Penang", "clashes with tuition", "unhappy with coach change" each lead somewhere different.
Then Confirm Stop.
What happens
- The student's status becomes Stopped and they appear under **Operation →
Stopped Students**.
- Their recurring bookings close, and the seats return to sellable capacity.
- The change is logged, so the retention report can count it in the right month
and the right branch.
Capture more than one line if it matters
For a family whose reasons are worth understanding properly, record a feedback form as well — Reports → Feedback Forms. It lets you tag the reasons against your own categories, which is what turns individual departures into a pattern you can act on.
