If your academy has the card terminal module, checkout can charge the reader at the counter directly: pick Card as the method and a Charge on Terminal button appears. No amount is typed into the reader, so the terminal can never be charged a different figure than the invoice.
Nothing is booked until the bank approves
This is the rule the whole flow is built on.
- Approved — the packages, the invoice and the payment are created together, to the sen, and a small approval-slip PDF from the terminal's own reply is attached to the payment as evidence. Nobody photographs paper slips.
- Declined or cancelled — nothing is created. No invoice, no package, no half-recorded sale. The cart stays on screen so you can try another card or another method.
Voiding a terminal-paid sale
Void it the normal way, from the package — see Void a mistaken sale. One click does both halves, in the safe order: the charge is reversed on the reader first, and only then is the sale erased. If the reversal fails, nothing is erased.
Two things are different from a cash void:
- Same-day only. Once the bank settles the batch — overnight — the terminal cannot reverse the charge. A settled sale is cancelled to account credit instead, and the money goes back to the family as credit rather than onto the card.
- The payment record survives. A reversed card payment stays on the books marked refunded, with the charge slip and the reversal slip linked, so the bank statement and Hull agree line for line. A hand-keyed payment has nothing to reconcile, so a void erases it entirely.
Voided on the reader's own keypad? The terminal cannot tell Hull what happened. Your head coach or owner can mark the payment as reversed from the void dialog — it asks for confirmation, and it unlocks the system void.
The one-time setup
Each branch has its own terminal credential, issued automatically when the branch is created. The counter PC runs a small bridge app that talks to the reader; your super user views or regenerates the credential from School Config — regenerating shows the new one once and kills the old one instantly, so coordinate with the counter before pressing it.
